Client Loop

One place to message, collaborate, and share files with your clients

The Client Loop gives your clients a single place to message your team, share documents, and track what you need from them. Every conversation is automatically organized by the work it belongs to — no manual sorting, no digging through email threads. Clients can reply, upload files, or snap a photo straight from their phone, so the back-and-forth that used to take days happens in hours.

Use the Client Loop to:

  • Send messages and file requests that clients can act on from one dedicated tab

  • Tag conversations to the workflow they belong to, so both sides always have context

  • Know exactly which chats are waiting on a client response and which are waiting on your team

  • Share folders so clients can self-serve files without emailing you to ask

  • Receive client file uploads —organized in Levvy automatically

How to Use the Client Client Loop

Set up the Client Loop

  • Open the relevant client profile

  • Click Client Loop in the left-hand navigation

  • Set a primary point of contact — the client will see this person's details in the Client Loop so they always know who to reach out to

  • Choose which folders to share — clients can view, preview, and download files from these folders directly in the Client Loop

  • Invite your contacts: select an existing contact saved in Levvy, or add a new one — they'll receive an email invitation

  • Optionally write a welcome message that the client will see when they first open their Client Loop

Send Messages

  • Click New Message

  • Enter a subject to give the conversation a clear title

  • Select a workflow tag — tags are automatically created for every workflow activated for this client. This keeps conversations organized by the work they belong to

  • Write your message, then turn on Reply Needed if you need the client to respond or take action. The chat will land in the client's Action Required tab until they reply

Even if a client reads the message, it stays in their Action Required tab until they respond — so nothing gets accidentally dismissed.

Send a file request

  • Click New File Request

  • Enter a request name — this becomes the subject of the chat (e.g., 'Upload tax materials')

  • Select a workflow tag if this request is tied to a specific service. Files the client uploads will save automatically in the client upload subfolder within that workflow's folder

  • If no workflow is selected, uploaded files go to the client's general Client Uploads folder

  • Set an auto-reminder — specify the reminder frequency and the maximum number of reminders so the client isn't bombarded with reminders

  • Choose who in Levvy gets notified when the file is uploaded, then send now or schedule for later

  • File requests appear in the client's Action Required tab, just like Reply Needed messages. The status automatically updates to Waiting on Client once sent.

Track and manage conversation status

  • When a client replies, the chat automatically moves to Waiting on Firm so your team knows it needs attention

  • Once you have everything you need, mark the conversation Resolved — both sides can see that nothing further is required

  • If something comes up after resolution, reopen the conversation at any time — the full history is preserved, so neither side needs to re-explain the context

  • Use the workflow tag on each chat to quickly prioritize conversations across clients with multiple services

Clients upload files — including from their phone

  • Clients can access their Client Loop from any device — it's a mobile-first web app with no download required

  • From their phone, clients can take a photo and upload it directly, or select files already saved on their device

  • Uploaded files land in the Client Upload folder in Levvy automatically — organized by client and workflow, with no manual filing needed

  • Clients can pin the Client Loop to their phone's home screen for quick access without downloading an app

FAQ

Do clients need to download an app?

No. The Client Loop is a mobile-first web application. Clients can access it from any browser and pin it to their phone's home screen for an app-like experience — no download required.

Do clients need a Levvy account to access the Client Loop?

No. Clients receive an email invitation with a link to their Client Loop. They don't need to sign up for or log in to Levvy.

What is the Action Required tab?

The Action Required tab is the client's dedicated list of everything that needs their response — any message marked Reply Needed or any open file request. Items stay in this tab until the client replies, even if they've already read the message.

What happens when a client replies to a message?

The chat automatically moves to Waiting on Firm in your view, so your team knows it's ready for follow-up. Once you have what you need, mark the conversation Resolved.

Where do client-uploaded files get saved?

Files upload straight into the Client Upload folder in Levvy. If the file request was tagged to a specific workflow, the file saves inside the client upload subfolder within that workflow's folder. Untagged uploads go to the client's general Client Uploads folder.

What are workflow tags and why do they matter?

Workflow tags link a conversation or file request to a specific service — like Tax Return or Monthly Bookkeeping. Tags are created automatically for every activated workflow. They help both you and your client see what each conversation is about at a glance and prioritize the most urgent threads.

Can I schedule a file request to send later?

Yes. When creating a file request, you can choose to send it immediately or schedule it for a future date.

Can a resolved conversation be reopened?

Yes. Either side can reopen a resolved conversation at any time. The full message history is preserved, so no context is lost.
