Moving clients and user between teams

Follow these steps to ensure a smooth transition

Whether you're restructuring from dedicated client teams to industry-focused groups, or expanding by launching a new division. These shifts require you to reshuffle client work while keeping service delivery seamless.

1. Create the new team where clients and users will be moved.

Click on Add New Team under Team Management

2. Add all users who should be part of the new team.

Click on Team Members in the left navigation. Select Add New Members.

As long as the original assignee is in the new team, their tasks stay assigned. If not, future tasks will be unassigned for reassignment. Tasks before the date of change will not be impacted to preserve historical accuracy.

3. Reassign Clients to the New Team

From each client’s profile, edit their team assignment to the newly created team.

4. Review Workflow Task Assignments

Go through all workflows for the affected clients and make sure every task is assigned to the correct user in the new team.

5. Archive the Old Team

Once all clients and workflows have been updated, you can safely archive the old team.

6. Move Remaining Clients (if any)

If there are any remaining clients in the old team, you can move them to another team directly from the archive team modal.

7. Move Remaining Users (if any)

If any users were only part of the archived team, you will need to assign them to an active team so they maintain access.

8. Ensure everyone’s time is effectively utilized after the migration.

Use Levvy's capacity manager or time reports to review their capacity.
