How to Manage Roles and Permissions

Step-by-step instructions on how to decide what role you assign to a user

User access is role-based, determining different levels of permissions. Use the Roles Details chart and symbols outlined below to see a summary of what each role has access to, and jump to any role to see further details on what they're able to do.

Legend

  • Checkmark symbol (✓) - They can see the section and have full access to it, including the ability to create, edit and delete in that section

  • X symbol (X) - They cannot see that section, therefore they do not have any access to actions inside that section

  • Exclamation point symbol (!) - They can see the section but have limited access inside it - go to the specific team member role for details

*If you start as a supervisor or external collaborator in one team, you have to stay in that role when you join other teams. If you want to change your role, you have to leave all teams you're on in Levvy first.

Owner

Owner creates the account through https://app.levvy.com/signup and has the highest level of access, automatically assigned to all teams. Each account can only have one owner.

My workspace

  • Edit tasks—including dates and assignees

  • Be assigned as an approver

Client Management

  • Create, edit and archive client

  • Add and edit workflows

User Management

  • Add users

  • Edit, archive and assign users with roles below owner

  • View and add users’ available hours, salary and benefits

Team Management

  • Add, edit and archive team

  • View Clients team report

Time Reports

  • View time reports

  • Edit the logged time in daily time reports for everyone

Workflow Library

  • View templates in Levvy Prebuilt Library

  • Edit and publish templates in Company library

  • Create new templates in Company Library

Leaves

  • View and approve leave requests from team

Action Center

  • View notifications, unassigned tasks, tasks pending approval, and update status

Supervisor

Supervisors have almost the same access as owners. We suggest assigning those setting up Levvy accounts as supervisors, giving them the ability to create clients and build workflow templates in the Company Library.

  • Edit tasks—including dates and assignees

  • Be assigned as an approver

Client Management

  • Create, edit and archive client

  • Add and edit workflows

User Management

  • Add users to their team

  • View, edit, archive and assign users in their teams with roles below owner

Team Management

  • Add, edit and archive team

  • Remove users with roles below supervisor from a team

  • View Clients team report

Time Reports

  • View time reports

  • Edit the logged time in daily time reports for owners and anyone within their team.

Workflow Library

  • View templates in Levvy Prebuilt Library

  • Edit and publish templates in Company library

  • Create new templates in Company Library

Leaves

  • View and approve leave requests from team

Action Center

  • View notifications, unassigned tasks, tasks pending approval, submit leaves and update status

Team Manager

Team managers share many access and permissions with Supervisors, but they can't add clients or edit workflow templates in the Company Library.

During setup, invite team managers after the owner or supervisors create clients and workflow templates clients and workflow templates in the Company Library have been created by the owner or supervisors.

  • Edit tasks—including dates and assignees

  • Be assigned as an approver

Client Management

  • Edit and archive but not create client(s)

  • Add and edit workflow

User Management

  • Add users to their team

  • View users in their team with roles below supervisor

  • Edit and assign users with roles below manager but cannot archive users

Team Management

  • Edit a team - but cannot add or archive team

  • Remove users with role below manager from a team

  • View Clients team report

Time reports

  • View time reports

  • Edit the logged time in daily time reports for themselves and users with roles below them (Team member and External collaborator)

Action Center

  • View notifications, unassigned tasks, tasks pending approval, submit leaves and update status

Team Member

Team members can view, complete, comment and move tasks within the days specified by manager and above roles. However, they cannot edit tasks' start dates, due dates and assignees.

My Workspace

  • View but not edit tasks' start dates, due dates and assignees

  • Cannot be assigned as an approver

Client Management

  • View client information and workflow but not add or edit

User management

  • View users with role below supervisor

  • Cannot add, edit, or archive users

Time Reports

  • View time reports

  • Edit the logged time in daily time reports for themselves only

Action Center

  • View notifications, submit leave requests, and update status

External Collaborator

External collaborators have the least access and can only view tasks assigned to them. Clients, consultants or remote data entry specialists are best assigned to the external collaborator role.

My Workspace

  • View tasks assigned to themselves only but cannot edit tasks' start dates, due dates and assignees

  • Cannot be assigned as an approver

Client Management

  • View their own client information and workflow

Time Reports

  • View time reports

  • Edit the logged time in daily time reports for themselves only

Action Center

  • View notifications and update status
