Overview

Email Integration brings all your client emails into Levvy, automatically organised around your firm’s workflows. Connect a shared inbox and every conversation — including emails from senders not yet added to Levvy as contacts — appears in a single, clean view mapped to the right client profile.

Use Email Integration to:

  • Read every email sent to or received from a connected inbox, without leaving Levvy

  • Create a task from any email in one click — with the full thread attached

  • Filter conversations by workflow tag to focus on exactly the right work

  • Catch emails from new vendors, inbound leads, and automated billing — not just known contacts

How to Use Email Integration

Step 1: Connect an inbox

  • Navigate to a Client Profile

  • Select the Inbox tab

  • Click Connect Inbox and enter the email address and password for the inbox you want to sync

  • Choose the time period of historical email you want to sync.

  • Levvy will begin syncing all emails sent to or received from that inbox immediately

Note: You can connect a shared firm inbox (e.g. [email protected]) or an inbox managed on behalf of a client. Each inbox can only be connected to one client profile at a time.

Step 2: Read your inbox

  • Once connected, all conversations appear in the Inbox tab of the client profile

  • Emails from senders not yet added to Levvy as contacts are included — not just known contacts

  • Junk, spam, and deleted emails are filtered out automatically

  • Click into any conversation to read the full thread without leaving Levvy

Note: To retrieve the latest emails, refresh the inbox manually. Automatic email syncing is coming in a future update.

Step 3: Create a task from an email

  • Open any conversation in the inbox

  • Click Create Task. Ad hoc task will be created and added to the workspace

  • The full email thread is automatically attached in the task notes

  • The task assignee can read the full context without switching to email

Note: Currently, tasks created from emails appear in the workspace but do not surface back inside the email thread. This two-way link is coming in a future update.

Step 4: Apply workflow tags to emails

  • Levvy automatically creates a workflow tag for every activated workflow in your account — such as Monthly Bookkeeping or Tax Preparation

  • Tags are applied to conversations so emails are organised by the service they relate to

  • Use the tag filter in the inbox view to show only conversations for a specific workflow

  • Tags are generated from your activated workflows — no manual setup required

FAQ

Which emails appear in my inbox?

  • All emails sent to or received from your connected inbox are visible — including messages from senders not yet added to Levvy as contacts. So if you’re doing accounts payable for a client, you won’t miss invoices from new vendors or automated billing emails.

  • Junk, spam, and deleted emails are filtered out automatically to keep the view clean. If you’ve connected a firm inbox like [email protected], inbound leads and prospect enquiries will also appear.

Can I hide specific emails from my inbox?

Not currently. All emails in a connected inbox are visible to any team member with access to that client’s profile. If an inbox contains emails you’d like to keep private, you can disconnect it from Levvy in the meantime.

My client has multiple entities that share the same email address. Can I connect the same email to different client profiles?

Each email inbox can only be connected to one client profile at a time.

If multiple entities share the same address, you can still route work to the right profile — when creating a task, use the client dropdown to select the correct entity. This keeps each piece of work mapped accurately even when the email is shared.
