How to automate task creation from Gmail

Sign up for a Zapier account

  • You will need a Zapier account. If you don’t one, you can sign up here.

  • With a free Zapier plan, it can take up to 15 minutes for the email to show up as tasks in Levvy.

Create a label in Gmail

  • In the side navigation, click on the `+` icon beside Labels

  • Name the label you want to use for the automatic creation of the task in email

Specify which email should be created as task in Levvy

  • Click `Forward` in an email

  • Enter your email address in the `To` field. If you have multiple email addresses, use the email that you will use to create the zap (see the following steps)

  • Add the client name in square brackets in the subject field.

The client name must be spelled exactly the way it appears in your Levvy workspace, including symbols and spaces.

For example, if the client name in Levvy is spelled 'Integration Inc,' append the subject with '[Integration Inc]'.

Set up trigger: New Labeled Email in Gmail

  • Click on the main menu in the side navigation bar

  • Look for the Zap Create Ad hoc tasks in Levvy from new labelled emails in Gmail. Click on "Use this Zap"

  • You will be redirected to Zapier. The trigger and action are automatically filled out. Click on "Choose".

  • For the `Account` step, if the email address is the one you want to connect to. Click `Continue`.

  • To connect to a different Gmail account, click `Change`

  • For the `Trigger` step, click on `Choose value` to open a dropdown list. Select the label you just created from the previous step. You can also search for the label typing in the search box

  • After you select a label, click `Continue`.

  • The test email you labeled from the previous step should appear. Select the record. Click `Continue with selected record`.

Set up action: Create Ad hoc Task in Levvy

  • For the `Account` step, click `Choose`.

  • Select your Levvy account from the dropdown. If you don’t see your Levvy account, click on `Connect a new account`.

  • In the grant access modal, your company name should appear under Company Details. Click `Allow Access`.

  • Specify the assignee by selecting a user from the dropdown list. Click `Continue`.

Budgeted hours and Days to complete are set to 1 by default. Owner, supervisor or manager role can edit these values, once the task is created in Levvy.

  • You only need to set up your trigger and action once.

  • Turn an email into tasks in Levvy in three steps: (1) Add the client name in square bracket in the subject (2) Apply the label you specified in the Zap (3) Forward the email to yourself. You can review the steps mentioned above

  • The task will be added to the client entered in the email subject
