Accounts Payable Agent - Trust, Privacy & Safety

Learn how Levvy keeps your data secure

Trust, Privacy & Safety

AI built the way accountants need it – transparent, flexible, and controllable.

Levvy is introducing agentic features – AI that doesn’t just surface information, but takes action on your behalf inside your workflows.

Because these agents can take real actions on real financial data, we hold them to a higher standard than a chatbot. Our agents prepare and recommend; your team always makes the final call.

Our principles

You stay in control. Levvy’s agents work inside an approval-based workflow. They can draft, prepare, organize, and queue work – but they do not release payments or finalize entries on their own. A person reviews and approves – either directly in Levvy, or in an external system.

Every action is recorded and auditable. Our agents are transparent about what they do. For each task, you can see the steps taken and the source documents involved.

Your data stays yours. Your firm and client data stays within Levvy. It is never sold, never shared externally, and never used to train AI models.

Safe by design. Our agents operate with the same level of access as the person setting them up. Segregation of duties is preserved, and high-risk steps require human review and confirmation.

Security & privacy

Are Levvy’s agentic features secure?

Yes. Levvy’s agents run entirely within Levvy’s existing security perimeter – the same platform, controls, and infrastructure that already protect your practice data. They do not introduce a separate tool, a separate login, or a separate place where your data lives. Adding an agent does not change who can see your data or how it is protected.

How is my firm’s and my clients’ data protected?

Levvy has achieved SOC 2 Type II certification, an independent audit confirming that our security controls are not just designed correctly but operate effectively over time.

Your firm and client data stays within Levvy. It is never shared externally and never used to train AI models – not ours, and not any third-party model provider’s. Access is governed by your firm’s existing roles and permissions, so an agent can only see and act on data the assigned user is already entitled to.

Is my data used to train AI models?

No. Your data is never used to train or fine-tune general-purpose AI models, and it is never shared with model providers for that purpose. The information an agent processes is used solely to complete the task you’ve asked it to perform, and then it stays in your Levvy environment.

What AI technology does Levvy use?

Levvy’s agents are built on Amazon Web Services (AWS) Bedrock, using Anthropic's frontier models. This combines enterprise-grade cloud security with built-in responsible-AI guardrails:

  • Models run within AWS’s secure, compliant infrastructure rather than calling out to a public AI service.

  • AWS Bedrock Guardrails screen inputs and outputs to filter harmful or out-of-policy content before it reaches you or your clients.

  • Amazon guarantees that your data is processed in this controlled environment and is not retained by the model provider to improve its models.

We continuously evaluate new model advances so our agents stay accurate and capable, without compromising on security.

The Accounts Payable agent

The Accounts Payable agentic workflow turns invoice processing from a manual grind into something automatic – no more downloading attachments, renaming files, keying vendor names, checking for duplicates, and updating reports across three apps. Here is exactly what it does and how it keeps you in control.

What does the Accounts Payable agent do?

Running on the schedule you’ve already set for your AP workflow, the agent checks your connected inbox for invoice attachments, extracts the details needed to create a bill, files and renames each invoice by month, creates the bill in QuickBooks, and builds a shareable Google Sheet of processed bills. It connects to your email, QuickBooks, and Google Sheets only after you grant permission, and it runs only when your workflow is scheduled to run – you decide when that is.

What does the agent do, and what does it leave to people?

The agent does this

You review and confirm

Checks your connected inbox on your AP workflow’s schedule and detects invoice attachments

Confirm or correct extracted details before anything syncs

Extracts invoice details – vendor, invoice number, invoice date and total amount

Approve new vendors before they’re added to QuickBooks

Flags new vendors and missing fields

Review flagged invoices

Creates bills in QuickBooks and builds a shareable Google Sheet with the processed invoice

Review bills in QuickBooks

What happens when the agent isn’t sure?

When the agent finishes processing, it sets the task to “pending approval” and notifies the approver, presenting a list of the invoices that need attention – each labeled with what to check: a missing required field, a new vendor not yet in QuickBooks. Missing fields are highlighted so you know where to focus, and nothing syncs to QuickBooks until you’ve approved it.

Can I see what the agent did?

Yes. The agent appears as a task in the client profile and on the workspace, marked with an “Automated Task” assignee so you always know it’s agent-driven. You can watch each step in real time – not started, in progress, pending approval, or completed – and see exactly when it’s scheduled to run. Every invoice is logged, renamed, and filed by month, so if you ever need to audit or find one, it’s exactly where you’d expect. You can also open the “Success” tab to review invoices successfully extracted before they reach QuickBooks, and you can choose to ignore any file that shouldn’t sync.

Does the agent learn from my corrections?

Yes. When you correct a vendor, the agent remembers it and applies it automatically the next time an invoice arrives from that vendor, so you don’t make the same correction twice. This happens within your own Levvy environment to make the agent more useful to your firm – it does not train any AI model, and your data is never shared externally.

Do I control when it runs and who approves?

Yes. The agent runs only on your AP workflow’s existing schedule. The approver is set from your client profile, and you can reassign it for any single run – for example, if the usual approver is away – just like any other task. You can pause or remove the agent at any time.
