Easily schedule, join, track time, and collaborate on meetings in Levvy

Creating a Meeting

  1. Navigate to the workspace. Click the "Create Task" button.

    Click on Create Task

  2. Click the "Meeting" tab. Fill in the meeting details and click "Create".

  3. The meeting appears in the Meeting and My Tasks lane at the top of your workspace.

  4. When you hover your mouse over the avatar, you’ll see a dropdown list with the names of all meeting attendees.

Notifications for Guests and Meeting Creator

  1. Guests will receive a notification about the meeting invite.

  2. When a guest accepts or declines a meeting, the meeting creator will receive a notification. This ensures that the meeting organizer stays informed about who will be attending.

Accept and Decline Meetings

  1. Clicking on the notifications will open the meeting modal.

  2. Click "Yes" to accept and "No" to decline.

  3. For recurring meetings, you have the option to accept or decline all occurrences or just the specific one you selected.

    Click on Accept Invitation…

  4. Decline meetings will disappear from the workspace.

  5. An info icon serves as a reminder for you to respond to the invitation.

Joining a Meeting

  1. Click on the meeting link provided in the meeting modal.

  2. The meeting opens in a new tab, allowing you to keep the timer running in Levvy while participating.

View Meeting Details

  1. Agenda, guests, and time tracking history are organized into their own tab.

2. Other users invited to the meeting will appear in the Guests tab.

Note: External users' emails will appear in the guest list - but not their names.

Edit Meetings

Note: Only the creator of the meeting can edit and delete meetings.

  1. Click the pencil icon at the top right.

  2. Edit the the following meeting details and click "Save".

    • Meeting name

    • Agenda

    • Meeting Link

    • Guests

    • Start and End time

    • Recurrence

    • Client

    • Color of the meeting

3. For recurring meetings, you can choose to edit the selected occurence or future occurrences.

Delete Meetings

  1. To delete the meeting, click the trash icon at the top right.

  2. For recurring meetings, you can choose to delete the selected occurrences or future ones.

    Click on Confirm

Taking Notes in Meetings

  1. Creator can add notes in the "Guests" tab.

    Click on Cancel

  2. Click the pencil icon in the notes section.

    Click on Cancel

  3. The note field expands automatically. Click the checkbox to save the notes.

  4. For recurring meetings, you can choose to save notes to selected occurrence or future occurrences. Saved notes are visible to other guests.

    Click on Confirm

  • To see what meetings your teammates have but you are not invited to, turn on the View Meetings toggle in the side navigation bar

  • To keep everything organized in this view, all your meetings and your teammates meeting are automatically sorted into the corresponding client lane.

View Meeting Time in Time Reports

  1. Visit this article to learn how to access and analyze time reports.

  2. In user time report, meetings not associated with a client appear under the "Meetings and My Tasks" section.

  3. Meetings associated with a client will appear under the specific Client name.

  4. Click on the arrow on the left to see the breakdown of each meeting.
