✅ Scenario:
You need to hand off client work when:
A team member goes on leave (vacation, parental leave, etc.)
An employee exits the firm
A new or existing hire is permanently taking over another person's client
1. Plan Ahead to Avoid Disruptions
Start reassignment early to give the new assignee time to prepare and ensure nothing is missed during the transition.
2. Use Capacity Manager for Smart Delegation
The capacity manager shows real-time bandwidth for the absence period—so you can delegate tasks efficiently based on availability.
🔄 Bulk Task Reassignment Options
Watch this video on how to use bulk task reassignment.
Choose the right condition to match your reassignment need:
is on – For one-day absence
is after – When:
The return date is unknown
The employee is leaving permanently
Another hire is permanently taking over the client going forward
is between – When:
The absence has a known start and end date
Tasks need to be covered only for that time frame
(When the employee returns, they can easily resume their tasks.)
Pro tip: Reassign gradually by client as the new hire gets ramped up, rather than doing it all at once
📅 What About Meetings?
Ensure no meeting slips through the cracks:
In the Workspace, turn on the “View meetings” toggle in the left navigation
Filter by assignee to find all meetings the absent employee is on.
Re-create any client meetings, especially when the employee is the only attendee—so the new assignee stays informed and nothing is missed.
What happens if I archive a user when an employee leaves the firm?
All tasks, including past and future tasks, assigned to that user will be removed and the tasks will be unassigned.
All comments, including past and future tasks, left by that user will be removed.
All meetings created by that user will be removed.
User will be removed from future meetings which the user is a guest.
Time logged by the user will appear in client time reports
